Biotech software alternatives, compared with AI

Four searches bring most people here: Benchling alternatives, Veeva Vault alternatives, Smartsheet alternatives, Glean alternatives. In three of those four cases the honest answer is that the incumbent is doing its job and the thing you are missing is somewhere else entirely.

People do not search for alternatives because a product broke. They search because a product is doing what it was built to do and something they care about still is not happening. The lab notebook records the experiment perfectly and nobody knows what the tox vendor promised on Tuesday's call. The quality system controls the document and the obligation with a sixty-day notice period sits in a signed PDF nobody has read since. The tracker has a beautiful Gantt and the row that moved the critical path was updated eleven days late.

Smartsheet Collaborative work management. Timeline, grid, card, Gantt and calendar views over a sheet, plus automated approvals, notifications and dashboards for a team that shares the work. Anything nobody typed in. A row is exactly as current as the last person who updated it.
Glean Search and action across the apps a company already runs, with source permissions inherited, plus agents that can trigger work in connected systems. Facts that live in no connected system at all, which in a small biotech is most of them.

Read that third column again, because it is the same column four times. Every one of these products assumes that somebody, somewhere, has already put the fact into a system. That assumption is correct at four hundred people. At thirty it is the whole problem.

Start with the one you searched for

What sits on the other side of every one of these comparisons is a single-seat system installed for one person on their own machine, in plain files they own: one install, one owner, one mail identity, which is a genuine limitation and not a design flourish. It reads the mail and the meeting transcripts that person is already in, files each item to the right program or partner, updates the record when a fact changes, and keeps a running list of what they owe and what they are owed. Nothing outbound is ever sent without them approving it.

Here is the drug development version of the gap, which is the only version that matters. On a Thursday the monthly program review runs for an hour, and halfway through it the nonclinical lead reads out the fourteen-day tox result: a liver enzyme rise at the top dose, which reviewers will want reversibility data on. The review lands on adding a recovery arm to the GLP study, and on pausing the second program's dosing-room booking to free the time for it. That one decision changes the study scope, changes the second program's status, and creates something to settle with the vendor before the draft report date can be held. In most thirty-person companies it lands in one head and one set of scribbled notes. It is not in the notebook, because a decision to change a study's scope is not an experiment. It is not in the quality system, because it is not a controlled document. It is not in the tracker, because nobody typed it. And search cannot find it, because it was never written down anywhere a search could reach.
