Notion for biotech: where it stops and AI starts
Plenty of small biotechs run on Notion and are right to. This page is about the three specific places it stops in a drug development company, and one of them is a compliance line rather than a feature gap.
Notion is a workspace: documents, databases, projects, a knowledge base, a calendar, with an AI layer over the top. Its own product page leads with "meet your 24/7 AI team" and the words "built for teamwork", which is a fair description of both the strength and the shape.
What its AI layer genuinely does, said accurately
It is worth being exact, because the usual comparison undersells it. Notion's own page says the agent can build, edit and take action, and that anything you can do in Notion the agent can do for you: create and edit pages and databases, using context from the workspace and from connected apps. Custom agents run on a trigger or a schedule, described as working whether you are online or not, with one person building an agent and the whole team benefiting. There is enterprise search across connected apps, with Slack, Google Drive and GitHub named. There are AI meeting notes that transcribe and summarise. The workflows are model agnostic, so you can switch provider without losing context.
That is not a note-taking app with a chat box bolted on. Anyone arguing against it on the basis that it cannot write is arguing against a version of the product that no longer exists.
Stop one: it is a destination, and somebody has to move things into it
Everything above operates on what is in the workspace. The agent's context is the workspace plus whatever apps you connected. That is a completely reasonable design, and it means the quality of the whole thing rests on a habit: somebody puts the fact in.
In a drug development company the facts arrive from outside and they arrive by email. A contract research organization writes to say the analytical method transfer has slipped a month. A partner's alliance lead sends a cost report whose split does not match your reading of the collaboration agreement. A potential partner's non-binding offer arrives ahead of their September committee, with an upfront below the indicative number the board pack has been carrying since the spring. A change order lands as an attachment with a filename like scan0043. None of that is in the workspace until a person decides to put it there, and the person who would decide is the same person who read all four, is building the review pack, and is chasing two vendors.
The alternative shape is a system that reads the mail and transcripts you were already generating and writes the record from them, rather than waiting for you to arrive with the update. That difference, between a place to write things down and a thing that keeps the record current, is the whole subject of an AI company brain compared with a wiki.
Stop two: it is team-shaped, and a small biotech is often one person per function
Notion's own framing is teamwork: shared workspaces, one person builds an agent and the whole team benefits. In a thirty-person biotech there is frequently one program director, one business development lead, one person who is both alliance manager and chief of staff. Multi-user coordination features solve a problem those people do not have, and do not solve the one they do, which is that they personally hold too much state.
The single-seat alternative installs for one buyer, on their own machine, in plain files they own. It never assigns anyone else a task and never notifies a colleague. Someone else's commitment is captured as the buyer's own item to check, for example whether the vendor sent the revised protocol. That is a narrower product on purpose, and if what you need is genuine team collaboration, a workspace is the right purchase.
Stop three: the compliance line, and it is a real one
This is the part specific to life sciences. Notion's AI page states its security posture directly: SOC 2 Type 2 and ISO 27001, GDPR and CCPA mapping, no training on customer data, and zero data retention with model providers on Enterprise with thirty-day retention otherwise. It also states that Notion AI is HIPAA compliant for Enterprise, enabling the processing of protected health information on that plan.
Read that carefully if you are anywhere near clinical data, because the plan tier is doing real work in that sentence. A biotech that is comfortable putting patient-adjacent material into a workspace on one plan may not be entitled to on another, and that is a decision for whoever owns your data governance, not a feature comparison.
Separately, and this is a boundary rather than a criticism: the product page makes no claim about validated systems or regulated document control. The test. Take last month's three most consequential facts in your company. For each, ask when it entered the workspace and who put it there. If the honest answer is "about ten days later, by me, on a Sunday", the constraint is not the tool.
Running both
These are not mutually exclusive and pretending otherwise would be dishonest. A workspace is a good home for the things a team reads: the onboarding pages, the process notes, the reference material that changes slowly. A record that maintains itself is for the things that change weekly and that one person carries: the program state, the partner commitments, the dates, the promises. Keeping static reference in one and live state in the other is a perfectly sensible arrangement.
