Chief of staff AI tools: what a biotech leader actually needs

Four quite different categories get shopped under one phrase, and the demos look alike. What separates them is what each one is allowed to read, and whether anything it writes is still true next month.

The three questions that separate chief of staff AI tools

Feature lists will not sort these categories for you, because every one of them now advertises summarising and drafting. Three questions will.

The fourth category is the only one that answers all three, and it pays for that with real constraints. It is installed for one person and holds one mail identity, so it does not assign work to your team and does not notify anyone on your behalf. It drafts, and stops. Its passes are hourly at best and need a scheduler with a machine that is awake, so anything promising a reaction the second an email lands is describing something else.

What a biotech leader needs on top of the generic list

Every category above was designed for work that happens inside one building, among people who share a login. A drug development company does not run that way, and this is where a generic shortlist quietly fails. Most of the state that governs your quarter is produced elsewhere: a tox study at one contract research organisation, an analytical method transfer at a second, a manufacturing slot booked at a third, a joint steering committee that meets quarterly and decides things out loud. None of those parties will ever open your tracker. They will email one person, at an awkward hour, in a thread that is mostly about something else.

Then there is the obligation layer, which no note app has ever caught. A collaboration agreement carries notice periods, cost share splits, milestone triggers and reporting duties, sitting in a signed document nobody has opened since the signature page. The cheapest thing to catch and the most expensive to miss is a notice window nobody was watching. A tool that reads your mail and holds the agreement in the same record can flag it; a tool you type into cannot, because nobody types in a date they have not thought about.

The third requirement is confidentiality, which makes where the record lives a design question rather than a preference. Sponsor material, unpublished results and somebody else's study designs are already in that mailbox. Worth being exact rather than reassuring: keeping the files on your own machine means the working record is yours, and it does not mean the model runs there. What is read gets sent to the model provider over the interface.

What to check before you buy any of them

Five checks, in the order that saves most time. Where does the record live, and in what format. What can it do without asking you, and is any of that irreversible. Is it one seat or a team licence. How often does it actually run, and does that need your machine awake. And what does it explicitly refuse to do, because a tool with no stated boundary has not thought about one.

That last check applies to the category this site sells as much as to the others. An agent over your own files is not a lab notebook, not a validated system for regulated documents, it does not do discovery science or pharmacovigilance, and patient data stays out of scope at install rather than being fenced later.
